This Privacy Policy explains how Hestia Hospitality LLC dba Hestia360 ("Hestia360," "we," "us," or "our") collects, uses, shares, and protects personal information when you visit hestia360.com (the "Site"), contact us, schedule a call, book or stay in one of our homes, or use our property management, co-hosting, turnkey design and staging, investment and acquisition, or real estate brokerage services (together, the "Services").

By using the Site or Services, you agree to the practices described here. If you do not agree, please do not use the Site.

1. Information we collect

Information you give us

• Contact form: your first and last name, phone number, email address, the services you're asking about, your message, and whether you agree to receive text messages.
• Booking calendars: when you schedule a call with our team, your name, email, phone number, the time you choose, and any notes you add.
• Guest bookings and stays: guest names and contact details, stay dates, number of guests and pets, and the information we need to vet guests and prepare the home. Payment details are collected and handled by our payment processors or booking platforms; we do not store full card numbers.
• Insurance displacement housing: policyholder and household details, claim or file numbers, and contact details for the adjuster, carrier, or third-party administrator, so we can place your family and handle Additional Living Expense (ALE) billing and documentation.
• Corporate relocation: employee and employer or relocation-company details needed to arrange the stay and invoicing.
• Property owners, investors, buyers, and sellers: your contact details, property address and details, your investment or purchase goals, and the financial and banking details needed for agreements, transactions, reporting, and owner payouts.
• Communications: what you send us by email, phone, or text.

Information collected automatically

When you visit the Site, we and our service providers may automatically collect your IP address, browser and device type, pages viewed, referring page, and the dates and times of your visits, using cookies and similar technologies.

Information from others

We may receive information about you from listing and booking platforms (such as Airbnb, VRBO, and Furnished Finder), our direct booking tools, insurance carriers, adjusters and third-party administrators, employers and relocation companies, guest screening and verification providers, Amazing Realty, and referral partners.

2. How we use information

We use personal information to:

• respond to inquiries and schedule calls;
• arrange, confirm, and manage bookings and stays, including guest vetting and 24/7 guest communication;
• coordinate placements and billing with insurance carriers, adjusters, and employers;
• provide property management, co-hosting, turnkey design and staging, and investment and acquisition services, including owner reporting and payouts, and arrange real estate brokerage services through Amazing Realty;
• send replies, appointment and booking reminders, and other service messages, and, where you've opted in, marketing and promotional messages;
• operate, secure, and improve the Site and Services, and prevent fraud;
• comply with the law and enforce our agreements.

3. How we share information

We do not sell your personal information. We share it only as needed to run our business:

• Listing and booking platforms, such as Airbnb, VRBO, Furnished Finder, and similar sites, when we list a home or you book through them.
• Property management system providers: the software we use to manage reservations, calendars, listings, and guest communication.
• Payment processors, such as Stripe, to take payments, deposits, and payouts.
• Cleaners, maintenance, and other vendors who prepare, service, and repair the homes we manage.
• Our bookkeeper, accountants, and accounting software, for bookkeeping, owner statements, invoicing, and taxes.
• Guest screening and verification providers, such as Autohost, to verify guest identity and help prevent fraud and property damage.
• Our website, CRM, contact form, and booking calendar platform (GoHighLevel/LeadConnector), and our email and text messaging providers.
• Amazing Realty (TREC License No. 9005035), when you use our real estate brokerage services to buy, sell, or lease property.
• Insurance carriers, adjusters, and third-party administrators, for displacement stays: details about the placement, stay, and charges needed for ALE billing and claim documentation.
• Employers and relocation companies, for corporate stays they arrange or pay for.
• Property owners, limited to what they need to know about stays in their property.
• Referral partners, such as a real estate agent in another market, only when you ask us to connect you.
• Legal and safety: when required by law, or to protect the rights, property, or safety of Hestia360, our guests, owners, or others.
• Business transfers: in connection with a merger, acquisition, or sale of assets, subject to this Policy.

5. Cookies and similar technologies

Cookies help the Site work, remember your preferences, and show us how visitors use the Site. Embedded tools on the Site, such as our contact form, booking calendars, property listings widget, maps, and web fonts, are provided by third parties who may set their own cookies. You can block or delete cookies in your browser settings, but some parts of the Site, such as forms and booking tools, may not work properly. The Site does not currently respond to browser "Do Not Track" signals.

6. How long we keep information

We keep personal information for as long as needed for the purposes described in this Policy: for example, while we're working with you, and afterward as needed to meet legal, tax, accounting, and insurance requirements, resolve disputes, and enforce our agreements. When we no longer need it, we delete or de-identify it.

7. How we protect information

We use reasonable administrative, technical, and physical safeguards to protect personal information. No website, transmission, or storage system is completely secure, so we cannot guarantee absolute security.

8. Your choices and rights

• Marketing emails: use the unsubscribe link in any marketing email.
• Text messages: reply STOP to any message.
• Access, correction, and deletion: you can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it, subject to legal exceptions (for example, records we must keep for tax or insurance purposes).

Depending on where you live, including Texas, you may have additional rights under state privacy law, such as the right to obtain a copy of your data, to opt out of the sale of personal data, targeted advertising, or certain profiling, and to appeal our decision on your request. To make a request, email [email protected]. We may need to verify your identity before acting on it, and we'll respond within 45 days. If we decline your request, you may appeal by replying to our decision, and if you're not satisfied with the result of an appeal you may contact your state Attorney General. We will not discriminate against you for exercising your rights.

9. Children's privacy

The Site and Services are intended for adults. We do not knowingly collect personal information online from children under 13. Bookings must be made by an adult; any information about minors in a household (for example, for a displacement placement) is provided by their parent or guardian. If you believe a child has given us personal information, contact us and we'll delete it.

10. Third-party sites and tools

The Site links to and embeds third-party services, such as booking platforms, our listings widget, scheduling and form tools, and maps. Their own privacy policies govern how they handle your information, and we're not responsible for their practices.

11. Changes to this Policy

We may update this Policy from time to time. When we do, we'll change the "Last updated" date above. Material changes will be posted on this page before they take effect.
